Westshore Quilters’ Guild Quilt Show : Sew Magic! 2023
We are so excited to invite you to be a vendor at our upcoming quilt show happening at Eagle Ridge Community Center, October 13th and 14th, 2023! 1089 Langford Parkway, Langford, B.C.
Our quilt show normally takes place every other year, although during the pandemic it was an online event for 2019. We expect to have close to or more than 2000 attendees, and hang about 250 quilts. Our members have been busy with various challenges, and there will be lots for attendees to do and see.
Due to renovations at the Dry Arena, our quilt show will look a bit different than it has looked in the past. Please bear with us as we try to reconfigure the show! I have attached a preliminary floor plan and there will be the professionally drawn one available soon. Some of the changes include: change of entrance, no availability of the area outside of the arena, no commercial concession, addition of 2 classroom options for Saturday only, and our Gala being held inside the arena area.
So here is what you will need to know....
Show Hours:
Thursday, Oct. 12th – QUILT SHOW GALA EVENT - 7 PM to 9 PM
Friday, Oct. 13th – 10 AM to 5 PM
Saturday, Oct. 14th – 10 AM to 4 PM
Set Up Times:
Thursday, Oct. 12th – Global Tents and Events ONLY – 7 AM – noon
Thursday, Oct. 12th – Vendors and quilt show set up – noon to 6 PM
Friday, Oct. 13th – 8 AM to 930 AM (no dollies or trollies – carry in only.) NO taping to venue floors unless approved by Show Co- Chairs first please!
Move Out:
Saturday, Oct. 14th – 4 PM to 8 PM – No exhibitors may commence to dismantle, pack or remove any part of their exhibit prior to 4 PM on closing day.
Booth Cost:
Single Booth 10’ x 10 ‘ - $300 (includes black draping on 3 sides) Booth is empty.

Payment of Accounts:
Exhibit space must be paid in full by show date. Deposit of 50% of exhibit space due 15th May 2023.
At this point your business information will be published on our website and quilt show Facebook page to promote your participation.
Final payment due 1st September 2023. Payment by e transfer to wqgtreasurer@gmail.com or mail cheque to 510 Mount View Ave. Victoria, B.C. V9B 2B1.
Cancellation/Refund Policy:
Booth Cancellation prior to 31st August are eligible for a full refund. Cancellation after 1st September are eligible for 50% of monies paid. No refunds available after Oct. 1st, 2023. In the event that the show is cancelled in the case of circumstances beyond the control of Westshore Quilters’ Guild, or Eagle Ridge Community Center, exhibitors will be refunded monies paid, less any unrecoverable expenses already paid by the show committee to suppliers, facilities and contractors.
Parking:
Parking is free. We ask that you park in areas as far away from the venue as possible to promote good parking options for attendees.
Staffing of Exhibits:
It is expected that all booths will have staffing at all times during show hours. Guild volunteers will be available for short relief/bathroom breaks etc.
Concession:
There will be a small concession operated by the Guild during show hours. Order forms will be available to have concession items delivered to your booth.
